Duties



  • Manage supervisor’s schedule, appointments and claims. Provide smooth administrative support to Value &
    Safety Office (VSO) team members.

    • Organise departmental events and training workshops. Participate in events’ service agreements, sourcing and recommendations of vendors.
    • Understand and conform to procurement guidelines for all stages of purchasing procedures with timely approval, accurate entries and proper filings.


  • Monitor department generic email box and distribute incoming info or communications.
  • Refresh departmental intranet and shared digital workspace with updated information.

    • Manage incoming or outgoing documents and billing in a timely manner including courier services and postage, name card printing, etc.


  • Manage end-to-end arrangement of local or overseas conference, study and visit trips.
  • Review, improve and update administrative policies and standard operating processes.
  • Organises department team bonding activities to promote and strengthen camaraderie.
  • Assist in departmental annual budget preparation and provide monthly update.
  • Oversee office supplies and liaise with suppliers and vendors.

    • Assist in on-boarding process for staff including scheduling of orientation sessions, application of IT access, etc.


  • Provide secretariat functions such as minutes-taking for department meetings.
  • Any other duties or project as assigned by Head of Department (HOD) and/or supervisors.


Requirements



  • Min GCE O-level with 5 years of administrative or secretarial experience or;

  • Diploma inBusiness Administration or equivalent. Preferably with some working experience.
