The Methodist Church in Singapore (MCS) is a connectional church comprising the General Conference, three Annual Conferences, local churches, and various agencies and organisations. The General Conference (GC) is the highest body of the MCS, responsible for legislation, policy, and the overseeing of its various agencies, including the programme agencies responsible for education, missions, and welfare services.




We have a vacancy for Administrative Officer.




Responsibilities and Duties


1) Secretariat Support


  • Provide secretarial support and document meetings minutes for MSF board meetings, sub-committee meetings and MSF Annual General Meetings.


2) Administrative Support


  • Manage day-to-day operations including handle incoming and outgoing mails and emails, manage calls, and perform other administrative tasks.
  • Liaise with external parties (including staff of the Methodist Schools, relevant bank personnel and individual donors) on behalf of the MSF with regards to grant disbursements and donations. Liaise with external vendors on fund-raising events.
  • Coordination of grant applications and disbursements to


o Chen Su Lan Financial Assistance Endowment Fund;


o MSF Annual Grant and


o MSF Good Steward Awards.


  • Work with MCS finance team on payment and annual audit matters.
  • Process payments to MSF’s secretariat, fund managers and disbursements to MSF’s beneficiaries.


3) Events Coordination


  • Provide administrative and logistics support for MSF fund-raising activities, including communications and liaise with external vendors, church volunteers and hosting schools on the event preparation.
  • Work with the sub-committees on fund-raising events which include biennial Methodist Walk, fund-raising Dinners, etc.


4) Ensuring Compliance


  • Perform annual filing on Charity Portal and Institution of a Public Character (IPC) Renewal.
  • Liaise with Finance department on annual audit process.
  • Regular follow-up with MCS GC Compliance team on MSF’s IPC-related requirements.


JOB REQUIREMENTS


  • Diploma in Business Administration from an established institution with at least 3 years of relevant working experience.
  • Experienced with organising event is preferred.
  • Must be meticulous, analytical and have an eye for details.
  • Able to multi-task, work independently and prioritise to meet deadlines.
  • Good spoken and written communication skills. Able to communicate effectively across many levels of committees headed by clergy and laity.
  • Proficient in MS Office Application (Word, Excel, Powerpoint).
