Job Responsibilities:

  • To manage and supervise a team of 2 MSOs to run the daily operations of the Faculty's Office.
  • To provide coaching and training to the team members.
  • To motivate and resolve issues within the office (where applicable).
  • Assist Associate Dean (Faculty) to strategize, plan and execute effective programs to recruit, retain and develop faculty talent in the College.
  • Assist Associate Dean (Faculty) to strategize, plan and execute faculty-related publicity and communications to increase College's reputation and prominence at both local and international levels.
  • Provide administrative support to the School Review Committee for Promotions &
    Tenure committee (SRCPT) &
    School Reappointment Committee (SREC), as required, including, but not limited to, arranging meetings, preparing agendas and meeting papers, taking minutes, compiling faculty dossiers and following up on action points.
  • Provide administrative support to the School Search Committee (SSC), as required, including but not limited to, overseeing the arrangements of all activities related to the candidate's on-campus visits, maintaining links with shortlisted candidates and assisting in preparing relevant reports required in the hiring process.
  • Manage, solicit and compile list of prominent academics and researchers who can be tapped on for credible external referee's report during hiring and promotion exercises.
  • Compile, analyse, and verify data for preparation of reports required for the effective assessment of faculty or candidates for the respective search/appointment/reappointment/promotion/appraisal committees in an accurate and timely manner.
  • Work closely with School Human Resource Business Partners to track and reconcile faculty headcounts in the school amid faculty hiring and attrition.
  • Work closely with School Finance Business Partners to include the remuneration package (including Start-Up Grant, i.E. SUG) proposal and EOM budget forecast for faculty hires as part of School's budget.
  • Work closely with faculty members to ensure that their materials is submitted on time.
  • Update and maintain database of relevant faculty information. Be able to generate management reports for budget review and presentation slides on faculty matters for communication.
  • Support Associate Dean (Faculty) and Dean in the administration and management of the University's Promotion &
    Tenure (PT) exercises which are held twice a year.
  • Advise Associate Dean (Faculty) and Dean on the compliance of HR processes in accordance with the University's HR guidelines and oversee the timely and effective communication of important HR policies and processes that is of relevance to faculty.
  • Provide administrative support to Associate Dean (Faculty) as and when needed.
  • Work closely with Senior Deputy Dean's office on nomination for various awards.
  • Work on the write ups for various awards
  • Work on the MOE START scheme with HRBP on the budget, schedule.
  • Oversee requests for vouchers for campus visits
  • Oversee requests for hotel bookings for campus visits.
  • Oversees the budget for Faculty's office
  • Provide support to your team members as and when needed.


Job Requirements

  • Recognized university degree or its equivalent with at least 5 years' experience in Faculty Affairs matters in a tertiary education institution.
  • At least 3 years of supervisory experience leading a dynamic administrative team.
  • Equipped with strong analytical skills with the ability to solve complex issues and handle stress.
  • Possess excellent interpersonal and communication skills.
  • High level of commitment and initiative.
  • Equipped with high level of coordination and time planning.
