Overview


The HR &
Admin Executive will besupporting the HR Manager in managing the full employee cycle and day-to-day HR &
Admin operations which encompass recruitment, employee records management, onboarding &
offboarding processes, payroll administration, training &
development etc. The ideal candidate would be experienced in the full spectrum of HR and able to handle administrative tasks independently.




Job Description


  • Support the HR Manager in managing the day-to-day HR operations and provide HR &
    general administrative support for outlets and head office.
  • Manage the full recruitment cycle which include job posting, liaising with external job agencies, shortlisting of candidates, scheduling &
    conducting of interviews and onboarding/offboarding functions etc.
  • Maintain and ensure accuracy of information in the HRIS system and physical documents (i.E. payroll, employee records, leave, claim entries, medical certificates etc).
  • Administrate employee benefits programmes (i.E. leave, medical, insurance, benefits etc).
  • Managing employees’ insurance policies (i.E. WICA, medical &
    dental, H&
    S, travel etc) which include addition of new joiners, deletion of leavers, claims submission etc.
  • Generation of employment related documents (i.E. Letter of Appointment, Annual Increment Letters, Certificate of Employment etc).
  • Update and maintain confirmation of employment, Organisation Charts etc.
  • Manage the execution of the Daily Email and Internal Communications policies.
  • Coordinate with all relevant parties on all HR &
    Admin matters (i.E. training providers, government bodies, recruitment agency, insurance brokers, office equipment vendors etc).
  • Responsible for work-pass related matters (i.E. application, renewal, cancellation of passes, quota tracking, levy payments etc).
  • Responsible for monthly payroll administration (i.E. payroll instructions, commission, claims verifications etc).
  • Handle yearly IRAS submission for staff income (i.E. IR8A) and process tax clearance for foreign employees (i.E. IR21).
  • Manage employee communications (i.E. company announcement).
  • Responsible for all office equipment (i.E. photocopier, water dispenser, etc) and monthly/ad-hoc purchase &
    ordering of office stocks such as pantry, stationeries, uniforms, business cards/letterheads/envelopes/photocopier paper etc and verification of all HR &
    Admin related invoices.
  • To perform any other ad-hoc duties as assigned by superiors.


Job Requirements


  • Preferably Diploma in HR Administration/ Accounting.
  • At least 2 -3 Year(s) of working experience in the related field.
  • Working knowledge of the Singapore Employment Act.
  • Proficient in Microsoft Office and HRIS system (i.E. Quick HR).
  • Able to deal with people of different levels, internal and external.
  • Organized, independent, reliable, resourceful, willing to learn and a good team player.
  • Tactful, good with numbers, meticulous and people oriented.
  • Comfortable working in a fast-paced environment.
  • Ability to multitask and meet tight deadlines.
  • Self-driven and able to work independently under tight schedules.
