1. AUTHORITY


In charge of the operational procurement process for ship’s requirements.




2. GENERAL RESPONSIBILITY / TASK DESCRIPTION




PLANNING


▪ Negotiate / communicate with suppliers specifying quality, quantity, and delivery schedules


▪ Schedule, arrange, and follow-up on logistics to ensure cost effective and timely delivery of


items on board


▪ Monitor schedules of the assigned group of vessels to optimize deliveries on board


▪ Proactively participate in department meetings and other activities




3. EXECUTION


▪ Processing ship’s requisitions via the defined in Company Procurement procedures


▪ Evaluate bids and make recommendations based on commercial and technical factors


▪ Create and send purchase orders after approval


▪ Prepare items for shipment, arrange for transportation of product and coordinate shipments of


supplies to ships


▪ Update good receipt for each order


▪ Processing of invoices belonging to the orders she/he has created and/or are related to her/his


group of vessels


▪ Liaise between suppliers, relevant internal departments and ships


▪ Other procurement tasks as delegated by the Procurement Manager


▪ Interacts with ships to identify and meet requirements / problem resolution and to accommodate


short lead-time orders


▪ Request and process vessel feedback on quality and timing of deliveries of goods and services


▪ Provide information to the Procurement Manager on various monthly / weekly reports as


relevant


▪ Coordinate with appointed freight forwarder and monitor stock list at regular intervals


▪ Ensure that Procurement policies and standard procedures are adhered to at all times

4. REPORTING LINE (FUNCTION REPORTS TO)


The Procurement Executive reports to the Procurement Manager.

EDUCATIONAL QUALIFICATIONS &
EXPERIENCE


▪ Diploma or equivalent education with at least 2 years relevant experience


▪ Experienced in intercultural environments and good understanding of international business


practices and protocol


▪ Experience in accounting, financial and operational analysis
