Regional Vendor Management Program Coordinator
What this job involves:
- Vendor Documentation and Records Management:
Maintain accurate and up-to-date vendor documentation and contact information. - Vendor Onboarding:
Assist in the onboarding process for new vendors, ensuring completion of necessary documentation and compliance requirements via the Vendor Partner Connect. - Vendor Communication and Coordination:
Serve as a point of contact for vendor inquiries and requests. Coordinate and schedule meetings with vendors as per governance requirement. Facilitate effective and timely communication between internal stakeholders and vendors. - Contract Administration:
Support contract management activities, including tracking contract milestones, renewal dates, and compliance obligations. - Supplier Performance Management:
Coordinate with relevant stakeholders to ensure timely completion of SPM. - Vendor Relationship Management:
Help establish and maintain positive relationships with vendors. Support vendor meetings, performance reviews, and feedback sessions. Collaborate with cross-functional teams to address vendor-related issues and resolve disputes. - Compliance and Risk Management:
Assist in ensuring vendor compliance with relevant legal and regulatory requirements. Assist in vendor risk assessments and support risk mitigation efforts. Provide quarterly Ethics Report to JLL Head Office - Data Management and Reporting:
Generate reports on vendor performance, contract statuses, and key metrics. Provide data and insights for periodic vendor management reviews.
Other Responsibilities
- Manage the following for VMP:
VMP Events, VMP Trainings, VMP Rewards and Recognition Program, VMP Activities - Manage the Vendor Partner Connect and VMP Codex
- Collaboration with various stakeholders for VMP data and reporting requirement
- Ensure data integrity of VMP in the reporting dashboard including coordination with relevant stakeholders for data clean up and timely update.
- Assist in all VMP Communications to vendor partners and internal stakeholders including generating reports as applicable.
- Induct vendors to comply with Vendor Partner Connect requirements
- Ambassador of Vendor Management Program
- Perform other duties assigned as VMP evolves/aligns with Client objectives.
- Support vendor management and procurement activities when required
Performance objectives
- Act as a role model by behaving consistently and ethically in accordance with JLL and Client Business Code of Ethics
- Act as a Point of Contact for all data, communication related requirement in VMP
- Help in the achievement of VMP KPIs and overall account KPI when applicable
- Proactively promote and comply with Client and JLL's workplace safety policies, procedures and safety guidelines, and local legislative OH&
S and ISO requirements - Based on references/evidences, provide quarterly VMP KPIs scoring draft

- Proven experience as a procurement executive or in a similar role, preferably in a corporate setting.
- Knowledge of procurement principles, processes, and best practices.
- Demonstrated ability to prioritize and handle multiple tasks simultaneously.
- Persuasive written and verbal communication skills coupled with strong multi-tasking and organizational capabilities, with a high level of attention to detail.
- Sound interpersonal skills to manage a diverse range of vendors.
- Commitment to continuous improvement and results-oriented.
- Demonstrated ability to meet performance targets.
- Demonstrates proactive &

Employee specification
- Bachelor's degree in business, supply chain management, or related field.
- Previous experience in an administrative role, preferably in procurement or vendor management.
- Experience in dealing in the India/Pacific region would be well regarded
- Advanced computer and office software skills is required
- Experience in Jaggaer tool an advantage
