Role title


Office Assistant




Role purpose


The principal purpose of this role is to assist and support the Office Manager in providing a timely and efficient service encompassing the following functions:


· Messenger services


· Reception


· Building management




Reporting structure


Direct report of the Office Manager




Principal duties


Messenger duties


· Arranging hand deliveries of documents/letters including post/register outgoing mails


· Collect mails from mail box


· Received and courier documents


Reception duties


· Professional incoming call handling/ gatekeeping


· Greeting clients and visitors (including making/serving drinks)


· Booking of meeting rooms and arranging meetings


Stationery / store duties


· Respond promptly to requests for stationery and other items held in store


· Maintain stock levels in pantry


· Monitor and replenish levels of frequently requested stationery items


· Waste management – ensure recycling and waste is appropriately sorted and stored ready for collection


General duties


· Assist the Office Manager with minor premises maintenance works


· Liaise with contractors and vendors including carpet shampooing, plants &
pesticide services


· Assist with setting refreshments in meeting rooms / boardrooms and clearing down afterwards


· Ensure all common areas are neat and organised at all times


· Basic administration


· Assist Office Manager with expenses claim


· Other relevant ad hoc duties as required




Experience


· IT literate with knowledge of Microsoft Outlook, Word and Excel


· Good verbal communication skills and professional personal presentation are required


Require Mandarin speaking candidate
