Roles &
Responsibilities


  • Co-ordinate daily calendars, schedule and prioritizing appointments and meetings for PMO, including but not limited to taking minutes of meeting and action items.
  • Plan and organize all PMO internal and external meetings (e.G. conference calls, booking of meeting rooms, refreshment and equipment).
  • Manage division and department heads calendar
  • Own and manage PMO SharePoint by maintaining proper filing, correspondence, and records.
  • Co-ordinate with cross-functions (e.G. HR, Finance, HSE, Procurement) for internal communications or new system roll out.
  • Assist procurement team on vendor sourcing and purchase requisition.
  • Manage PMO travel arrangements, including travel itinerary preparation, visa application, airline tickets and accommodation bookings, airport transfer and/or car rental for business trips, seminars, or trainings.
  • Prepare and process all expense claims accurately and timely submission for PMO division head and HODs (e.G. medical claims, offsite meeting, business travel and entertainment expenses).
  • Inventory management of supplies for PMO and project sites (e.G. PPE, office stationery, copier papers, print cartridges, pantry supplies).
  • Manage and supervise on PMO office maintenance, repairs, or replacement such as office equipment and appliances.
  • Manage and co-ordinate with training centres / seminars for PMO staff enrolment.
  • Manage and co-ordinate on visitors / vendors / contractors entry permits application to Jurong Island and security clearance to affiliated plants.
  • Assist in PMO on team building events and new staff onboarding.
  • Expatriate / Re-patriate of PMO staffs, including relocation arrangement and family needs such as school admissions.
  • Raise purchase requisitions (PR) on a timely basis and process invoicing via SAP on the office/ division’s purchases.
  • Any other necessary duty as assigned.




Qualifications &
Experience


  • Diploma with minimum 8 years’ experience as an Office Administrator or Office Manager.
  • Competent with MS Excel, MS Word and MS PowerPoint
  • Good organizational skills and good interpersonal skills
  • Organized and detailed oriented, versatile and able to multitask.
  • Good team player and able to deliver results within tight deadlines.
  • Good vendor management and data entry skills.
  • Independent and able work with minimal supervision.
