About the Role:




Partnering with business stakeholders (Sales, Marketing, Field Service, and Medical Scientific Affairs), ensuring timely fulfilment of asset requests and their returns.




This is a 2-year contract role.




Roles and responsibilities:




Order management


  • Centralized management of all requests, provide visibility through daily reports for supervisor to manage daily priorities of each request.
  • Monitor orders entered by stakeholders, and ensure they are timely approved by the respective approvers. When necessary, follow up with the approvers to expedite approval.
  • Maintain close communicate with the requester or end customer on request related matters.
  • Initiate returning of consignments into the system and arrange transporter to collect from customer/event venue.
  • Liaise with requestor to resolve discrepancies found in returned consignment.
  • Follow up with requestor on discrepancies on delivery/collection documents, e.G. missing signature.
  • Monitor loan expiry and follow up with requestor on return arrangements. When necessary, perform extension of loan period in the system.
  • Follow up with distributor on Collection Form for returned consignment and upload form into SharePoint.


Export shipment management


  • Liaise with warehouse operations team for packing details to generate commercial invoices and packing lists from the system.
  • Arrange flight booking through Genpact-SCM.
  • Send shipment pre-alerts (AWB, commercial invoice and packing list) to the consignee.


Reporting


  • Responsible for quarterly OCAP Asset Management KPI report submission.
  • Provide monthly reports to requestors on overdue consignment returns for follow up actions.
  • Prepare monthly throughput and KPI reports.


Performance


  • Meeting set KPI targets.
  • Strict Compliance with OSP QMS and maintain zero non-conformance.


Other Tasks &
Responsibilities


  • Support in warehouse operations when required.
  • Support in ad-hoc team/department level project.
  • Any other duties as assigned by the Manager.

What we are looking for:


  • Diploma in Business or Logistics/Supply Chain Management is preferred but not a must.
  • Minimum 2 year working experience in customer service and order administration.
  • Good interpersonal skills and able to work with all levels.
  • Hands-on, meticulous and a keen learner.
  • Take initiative at work.
  • Able to work under tight deadlines.
  • Good team player and able to work independently with minimal supervision.
  • Bilingual in English and Mandarin and have a good communication skill, both verbal and written.
  • Knowlegde of warehouse processes and GDPMDS standards will be an advantage.
  • Demonstrated knowledge and working experience utilizing ERP and CRM tools, such as SAP and Salesforce.
  • Working knowledge in MS applications including Excel, Outlook and Powerpoint.
